Job Description

Key Responsibilities

These are typical responsibilities you’d expect in such a role:

  1. Diary / Calendar Management

    • Schedule, adjust, and manage the Chairman’s business and private calendar.

    • Balance meetings, travel, personal appointments.

    • Ensure minimal conflicts; plan ahead.

  2. Travel & Logistics Coordination

    • Organize complex travel (flights, hotels, visa, transport).

    • Handle both business and private travel needs.

    • Prepare itineraries and ensure smooth transitions.

  3. Communication Management

    • Screen incoming calls, emails, messages.

      • – Draft replies or responses as needed.

      • – Act as gatekeeper / buffer.

      • – Coordinate with internal and external stakeholders.

  4. Meeting & Event Support

    • Prepare agendas, briefing notes, presentations.

      • – Take notes or minutes in meetings.

      • – Follow up on action points.

      • – Occasionally organize corporate events, executive dinners, etc.

  5. Personal Assistance

    • Assist with private or personal tasks (within acceptable scope): appointments, managing personal errands etc., as required.

  6. Administrative & Operational Support

    • Maintain files, documents (both digital and paper).

      • – Handle correspondence.

      • – Budget/expense tracking for executive office.

      • – Assist in preparing reports or summaries for strategy/business development as needed.

  7. Travel Related Duties across GCC

    • Be ready and available for travel within GCC for business trips.

      • – Handle’s Chairman’s schedule across countries, ensure smooth travel transitions with appropriate preparation (visas, hosts, accommodation etc.).

  8. Business Development / Analytical Support (if required)

    • Assist with business development tasks: research, preparing analyses or dashboards.

      • – May support in basic strategy work or market intelligence.

  9. Confidentiality & Representation

    • Maintain strict confidentiality.

      • – Represent the Chairman’s office professionally in all interactions.
